Terios — a product by Kolmex

A gym with no notebook and no queue at the desk

Terios runs members, memberships and training sessions, while the kiosk at the door takes cash and lets a member in with a QR code or NFC. On the phone, the owner sees who has paid, whose membership expires next and who trained today.

! Why Terios

A gym does not lose on training, it loses on record keeping

Who paid, until when, who came in today and how many are booked for the evening class — all of it kept in someone’s head, in a notebook, or in a spreadsheet only they ever open.

01

Memberships in a notebook

Only the person who wrote it down knows the expiry date. While they are on holiday, nobody knows who owes what.

02

A queue at the desk

Mornings and evenings everyone arrives at once: one is paying, one is joining, one just wants to get in.

03

Cash with no trail

A payment goes on paper and gets retyped in the evening — if it gets retyped. The till and the records rarely match.

04

Classes booked by chat

Sign-ups arrive as messages, capacity is counted from memory, and the class ends up two over or empty.

How it works

From sign-up to entry — without a single sheet of paper

The member does their part themselves, from their own phone. What is left for you is the approval and the numbers.

01

The member signs up in the app

They enter their details and apply to your gym. Until you approve, they have access to nothing — the account exists, the membership does not.

02

You or your staff approve

The system records who approved and when. The same goes for rejection and suspension — every status change leaves a trail.

03

The member pays

In cash at the kiosk or with staff at the desk. The payment, the membership extension and any credit from an overpayment are written as one unit — money cannot go in without the membership starting.

04

Entry by QR code or NFC

The member taps their phone or tag and the system knows at once whether the membership is valid. Every entry is recorded, so attendance is known rather than estimated.

05

Notifications take care of themselves

The member gets a payment confirmation and a reminder before the membership runs out. The owner is notified the moment the kiosk takes money.

Three kinds of service

Membership, day pass and group training

Three separate things, not one with exceptions. A day pass is not a one-day membership, and it is not recorded as one.

Membership

A monthly membership with a start and an expiry date. Each gym chooses whether a renewal runs from the expiry date or from the day of payment.

  • Credit from overpayment
  • Reminder before expiry
  • Full payment history

Day pass

A single entry, paid on the spot. Valid for the day or time window you configure, and it never turns into a membership.

  • For members and visitors
  • Paid at the kiosk
  • Visitors never type personal data on the kiosk

Group training

A calendar session with a trainer, duration, capacity and price. Reservations never overlap and never exceed capacity.

  • Day-by-day schedule
  • Booking from the app
  • Attendance records
Mobile app

One app, four different views

Owner, staff, trainer and member open the same app and see entirely different screens. Permissions belong to the gym, not to the account — the same person can be a trainer with you and a member at the club next door.

Owner

Runs one or more gyms, sets prices and plans, approves members and follows payments and attendance. A notification arrives the moment the kiosk takes money.

Staff

Registers members, sells and renews memberships, sees who owes money. Has access only to the gyms the owner assigned — and to nothing else.

Trainer

Opens calendar sessions, sees who is booked and checks people in. Can message a member inside the app.

Member

Sees how long the membership runs and how much credit is left, books group sessions and shows a QR code at the door.

Kiosk at the door

A desk that does not have to be staffed

The member walks up, taps a phone or a tag, sees where they stand and pays in cash. The payment is booked immediately and the owner is notified — even with nobody on shift.

The gym name, logo and colours are yours — this is only an example.

Banknote validator

The NV9 Spectral recognises and rejects counterfeits. The cash stays in a locked box inside the unit.

QR and NFC at the door

The code in the app is short-lived and signed, and an NFC tag can be revoked and reassigned to another member.

10.1″ touchscreen

A Raspberry Pi in an enclosure, large buttons and little text. After a period of inactivity the screen returns home by itself.

A dropped connection never eats money

A transaction in progress finishes locally and is booked as soon as the connection returns. Every payment carries its own key, so it cannot be recorded twice.

Group training

A schedule that runs itself

The trainer opens a session: name, time, duration, capacity and price. The member sees it in the app and books with one tap — while places last.

Overbooking is impossible, and so is booking the same session twice. Whoever turns up is checked in on the spot, so attendance is visible without counting heads.

  • No overlapping sessions for the same trainer
  • Booking from the app, with no messages or lists
  • The trainer sees their own list, not the rest of the system

Where we are

Terios is in development — and we say so plainly.

The foundation works: gyms, administration and kiosk payments exist and are being tested. The rest is being built in order, together with the first gyms that join us.

We do not charge until the system does what we promised. In return we ask for patience and honest feedback — the only way a product comes out usable.

The same rules apply as to our other systems: money and entries leave a trail, and the kiosk keeps working when the connection drops.

“We would rather be late than ship a system that loses payments.”

Frequently asked

Questions we get

Is the kiosk mandatory?

No. Members, memberships and training work without the device — staff sell memberships from the app. The kiosk is for gyms where it pays off not to have the desk staffed at all times.

What if a member has no smartphone?

They get an NFC tag. The tag is only a key, not proof of identity — it can be revoked and reassigned if it is lost.

Can one owner run several gyms?

Yes. Roles and data belong to the gym rather than the account, so the same person can own one, coach at another and train at a third — with no data crossing over.

What happens if a member overpays at the kiosk?

The difference becomes credit at that gym, with an entry in the ledger. Each gym chooses whether credit is spent automatically or only when the member decides to use it.

Does it work in my country’s language?

Serbian is the default and the language is set per gym. For neighbouring markets we add the language before the first gym in that country goes live.

What about member data?

One gym’s data is never visible to another. Photographs and personal details are stored separately and reached only with authorisation, while the kiosk screen shows the minimum needed and clears it after every session.
